Job Description – Back Office Executive


Job Title: Back Office Executive

Department: Administration / Operations

Reporting To: Operations Manager / Office Head


Job Purpose:


To manage and support all back-office operations in the gems and jewellery business, ensuring smooth administration, accurate record-keeping, coordination with production, sales, and accounts teams, and efficient handling of office processes.


Key Responsibilities:


  • Maintain accurate records of production, inventory, sales, and purchase orders.
  • Prepare and maintain files for gold, diamonds, gemstones, and finished jewellery items.
  • Ensure all reports and documents are updated regularly for management review.
  • Assist in tracking raw materials, semi-finished, and finished jewellery stock.
  • Coordinate with warehouse and production teams for stock reconciliation.
  • Maintain stock registers and prepare reports on consumption and availability.
  • Act as a point of contact between production, sales, marketing, and accounts teams.
  • Ensure smooth internal communication and workflow.
  • Follow up on pending tasks, approvals, and documents.
  • Handle office correspondence, emails, and internal memos.
  • Assist in organizing meetings, preparing presentations, and office scheduling.
  • Support compliance and documentation for audits.
  • Assist accounts team in invoice preparation, purchase bills, and payment tracking.
  • Maintain records of vendor bills, receipts, and expense reports.
  • Process Improvement & Reporting
  • Suggest improvements in office workflow and documentation processes.
  • Prepare weekly/monthly reports for management on back-office operations.


Job Types: Full-time, Permanent, Fresher


Pay: ₹10,000.00 - ₹15,000.00 per month
