Administrative Support
Perform general office duties to support the Sales & Marketing department, including filing, sending emails, typing, faxing, and copying.
Prepare sales-related documents throughout the sales process, such as proposals, contracts, or banquet event orders.
Promote awareness of the brand image internally and externally.
Gather materials and assemble information packages, such as brochures and promotional materials.
Use sales techniques that maximize revenue while maintaining existing guest loyalty to the hotel.
Enter, retrieve, reconcile, and verify information in software involved in the sales process.
Answer guest questions about property facilities/services and serve as the point of contact for clients, communicating with them by phone and email to respond to questions and requests.
Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets.
2. Client Communication
Coordinate and maintain communication with potential and current clients, addressing inquiries and providing details about hotel offerings.
Help with preparing proposals, contracts, and quotes, ensuring that client needs are met.
3. Sales Coordination
Assist the sales team with lead generation, market research, and identifying potential sales opportunities.
Ensure smooth communication between the sales team, clients, and other departments (e.g., event planning, catering, housekeeping) to meet the client’s needs.
Coordinate logistics for meetings, conferences, and events held at the hotel, ensuring all details such as room setup, catering, and technical requirements are managed.
4. Event Coordination
Assist with the preparation of group, convention, and catering-related business.
Support managers with convention planners, sales account managers, and clients on their needs.
Assist Sales with prospective customers.
Assist on-site client inspections to illustrate available services and educate customers on meeting and sleeping room set-ups and capabilities.
