Job Summary:


We are seeking a friendly, organized, and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our company, responsible for creating a positive first impression for all visitors and callers. This role requires excellent communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently in a fast-paced environment.


Key Responsibilities:


  • Front Desk Management: Greet and welcome visitors warmly, directing them to the appropriate person or department.
  • Call Handling: Answer, screen, and forward incoming phone calls, providing basic information when necessary.
  • Mail and Deliveries: Receive, sort, and distribute daily mail, deliveries, and couriers.
  • Scheduling & Appointments: Assist with scheduling appointments and maintaining calendars for meeting rooms or staff as required.
  • Administrative Support: Perform various administrative tasks such as filing, scanning, photocopying, and data entry.
  • Office Maintenance: Maintain a tidy and presentable reception area and assist with general office upkeep.
  • Supply Management: Monitor and order office supplies, ensuring adequate stock levels.
  • Visitor Log: Maintain accurate visitor logs and ensure security procedures are followed.
  • Problem Solving: Address and resolve visitor inquiries or direct them to the relevant staff member.
  • Communication: Act as a liaison between internal departments and external contacts.


Qualifications:


  • Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Education: High school diploma or equivalent; additional certification in Office Management is a plus.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Communication: Excellent verbal and written communication skills.
  • Interpersonal Skills: Professional attitude and appearance, strong customer service orientation.
  • Organizational Skills: Ability to be resourceful and proactive when issues arise, with strong organizational and multitasking abilities.
  • Time Management: Excellent time management skills and ability to prioritize tasks.
